Storage & stock management

Warehousing

Secure, climate-controlled storage at strategic locations.

New KPCU manages expansive, strategically located warehouses for the safe storage of both parchment and milled coffee — ensuring quality is preserved and full traceability is maintained from the moment coffee is received until it moves to market. Every stock movement is reconciled, mapped and auditable.

Inventory reconciliation cycle

Working towards certified warehousing. New KPCU has engaged the Warehouse Receipt System (WRS) Council as part of our journey to offer certified coffee warehouse services — strengthening the financing and trading value of stored coffee for farmers.

The storage lifecycle

Coffee is warehoused twice on its journey — first as parchment awaiting milling, and again as graded milled coffee awaiting sale. The flow below shows how stock is controlled at each stage.

Stock is stored, segregated, preserved and reconciled at every stage — keeping certified and non-certified lots fully separated.

Storage protocols

  • Milled coffee is securely stored under traceable Outturn Numbers.
  • Batches are organised and warehoused by certification status to ensure compliance with market and buyer specifications.
  • Certified coffee is segregated from non-certified lots and stored in designated warehouse sections.
  • All stock is clearly labelled and mapped for easy retrieval and audit.
  • Post-weighing, parchment is transferred to the parchment warehouse and stored in organised rows and bays on pallets, awaiting milling per the FIFO plan.

Inventory management & quality preservation

Inventory is reconciled weekly with real-time updates to the Marketing and Finance teams. We adhere to best warehousing practices including proper aeration, appropriate stacking, hygiene maintenance and integrated pest control. Quality is preserved through temperature and humidity monitoring, regular stock rotation, contamination-prevention measures, and traceability maintenance throughout the storage period.
